Windhorst is a family business with a long history in transport. Based in Hazerswoude, they offer end-to-end logistics solutions including transport to the UK, Ireland, and warehousing services. Nico de Jong is responsible for tachograph management across 19 vehicles and 25 drivers. At that scale, staying on top of violations isn't something you can leave to chance.

The challenge: follow-up that didn't fit into the day

With Roadsoft's Task Manager, Nico already had a clear overview of violations. But following up on them was still a manual process. Every week, he scheduled driver conversations on Thursdays, his quietest day. He'd call each driver, pull up the trip planning and activity records to walk them through the violation, collect a signature, scan it, upload it into the system, and document everything in Roadsoft. 

That alone took around two hours per week. And when things got busy, it slipped. Drivers came in at the end of the day, conversations happened between tasks, and sometimes a week had passed before follow-up happened. By then, the details were no longer fresh.

When Roadsoft introduced the Digital Assistant, Nico joined the beta programme. The Digital Assistant automates the entire driver follow-up process: when a violation is detected, it calls the driver, explains what went wrong, collects their response, and stores the full interaction as structured compliance data. Implementation took about 45 minutes. The pilot drivers received a short introduction, and from there it ran smoothly.
