Bax Transport Boskoop BV was founded three years ago by Renate and Albert Bax, a couple who complement each other well day to day. Albert has spent years in transport and knows that side inside out. Renate came from administration in livestock farming and recently passed her HGV test, so she can step in behind the wheel when needed.

They have four drivers on the road, on domestic and international work, and no two weeks are the same. One driver is on a home run, another is abroad, and the routes change along with them. That variation is exactly what makes manual entries easy to get wrong, so being clear with drivers about what to record on each job matters more than you would think.

Plenty of data, nothing to act on

The transport market is hard going at the moment. Costs are up, the roads are busier than ever, and for a small family business keeping costs down while staying fully compliant is not a given. Especially not while you are still building. When margins are that tight, you cannot afford to lose hours a week to compliance work that is still done by hand.

Bax Transport came to Roadsoft through a tachograph audit. They were using software from another supplier at the time. It delivered the download keys, but not much else. The data came in, and then it sat there. Nothing pointed to what needed doing, or what to raise with which driver. Like a lot of hauliers, Renate and Albert assumed they had tachograph compliance more or less covered, until the audit turned up a few things they could then sort out with Roadsoft.

Back then, Renate printed the infringement reports every week, sat down with each driver in turn and had them sign. That was her debrief routine: print, sit down, sign. Compliant on paper, but it ate her time.

Alex picks up the small ones, so there is room for the debriefs that matter

Renate now works through her tasks in the Task Manager every week, and the reports she used to print are all handled in the software. The WhatsApp Assistant Alex joined recently. He goes to the driver directly on the small infringements: two minutes over on driving time, five minutes too long behind the wheel. It arrives on WhatsApp, which drivers have open all day anyway, and they usually reply as soon as the job is done.

The other side of it matters just as much. Roadsoft also shows Renate and Albert which drivers hardly pick up any infringements at all. Those drivers get told so, and that turns compliance into a conversation about what is working, not only about what went wrong.

In a market where every euro and every hour counts, that means less admin and a smaller risk of a heavy fine. Roadsoft keeps Bax Transport Boskoop BV compliant without the compliance work growing faster than the business.
